1. Who we are and what this policy covers

Compass UAV Ltd. (“Compass UAV,” “CUAV,” “we,” “us” or “our”) operates cuav.ca. This policy explains how we collect, use, disclose, retain and protect personal information when you visit this website, submit an inquiry, upload a project file or schedule a meeting through the website. It does not describe every offline business, employment or vendor record maintained by Compass UAV.

2. Information we collect

Information you provide

The contact form collects your name, email address, selected service and project description. You may also provide a telephone number, company name and an attachment in KML, KMZ, PDF, ZIP, DWG or SHP format. We collect the filename and the information contained in an uploaded file. If you provide another person’s information, you confirm that you are authorized to provide it for the inquiry.

If you use the embedded Calendly scheduler or follow our Calendly link, Calendly may collect information such as your name, email address, time zone, meeting selections and other information you enter when booking.

Information collected automatically

Our website, hosting and security systems may collect IP addresses, dates and times, requested URLs, referring pages, browser and device information, error details and similar server-log information. The contact-form handler uses a one-way hash of the submitting IP address for a one-minute anti-abuse limit; it does not store the raw IP address in the form entry.

CookieAdmin records your consent choice, a consent identifier, country, timestamp and an anonymized IP address. If you allow analytics, Google Analytics may collect page views, session and interaction events, approximate geographic location, browser and device characteristics, referring information and cookie or device identifiers. We do not intentionally send contact-form contents or uploaded files to Google Analytics.

3. How we use information

  • Respond to inquiries, assess project requirements and prepare requested quotations or follow-up.
  • Deliver attachments and inquiry details to the monitored Compass UAV mailbox.
  • Schedule and manage meetings requested through Calendly.
  • Operate, secure, troubleshoot and improve the website.
  • Measure website traffic and useful interactions when analytics consent is granted.
  • Maintain appropriate business, tax, insurance and legal records when an inquiry becomes a customer relationship.
  • Comply with legal obligations and protect our rights, users and systems.

We do not use contact-form information to subscribe you to marketing newsletters. We do not sell or rent personal information. Compass UAV does not currently operate Google Ads or remarketing campaigns.

4. Cookies, consent and analytics

Necessary cookies support core site functions, security and storage of your consent choice. Functional cookies may support optional features such as scheduling. Analytics cookies help us understand website use. We do not currently use advertising or remarketing cookies.

CookieAdmin uses the cookieadmin_consent cookie to remember your choices for up to 365 days. When analytics storage is denied, Google Analytics does not store its client identifier in a Google Analytics cookie. Google Consent Mode may still send limited cookieless consent or measurement signals to Google. When analytics is allowed, Google Analytics may use cookies such as _ga and _ga_* to distinguish sessions and visitors.

You may accept, reject or customize non-essential cookies and change your choice at any time. Withdrawing analytics consent stops new consented analytics events and removes accessible first-party Google Analytics cookies from this domain where technically possible.

5. Service providers and disclosures

We disclose information only as reasonably necessary to operate the website and respond to you. Relevant providers include WHC for website hosting and email delivery, WordPress and its installed site-management tools, CookieAdmin for consent management, Google Analytics for consented measurement, and Calendly for appointment scheduling.

Calendly acts as a service provider or processor when it handles scheduling information for Compass UAV. Google, Calendly and their subprocessors may process information in the United States or other countries outside Canada. Information processed in another country may be subject to that country’s laws and lawful access by its courts, governments or law-enforcement authorities. Review the Google Privacy Policy, Calendly Privacy Notice and Calendly Data Processing Addendum.

We may also disclose information where required by law, to respond to lawful process, to investigate fraud or security incidents, to protect legal rights or safety, or as part of a business transaction subject to appropriate confidentiality and legal requirements.

6. Retention

  • Unsuccessful inquiries are retained for up to 24 months.
  • If an inquiry becomes a customer or project relationship, relevant records may be retained for up to seven years after the relationship ends where needed for tax, insurance, contractual or legal purposes.
  • An uploaded file is moved to a temporary server location, attached to the inquiry email and deleted from that temporary location immediately after the email attempt. The emailed copy follows the applicable inquiry or customer-record period.
  • GoSMTP delivery logs are retained for seven days and do not retain attachment contents.
  • CookieAdmin consent logs are retained for up to 365 days.
  • Google Analytics user and event data associated with identifiers is retained for 14 months. The current setting resets that period when new activity occurs. Aggregated reports may remain available longer.
  • Hosting and security logs are retained only as long as reasonably necessary for security, diagnostics and legal obligations.

7. Safeguards

We use administrative, technical and organizational safeguards appropriate to the information, including encrypted HTTPS connections, access controls, security monitoring, anti-abuse controls, limited file types, file-size limits and restricted WordPress administration. No Internet transmission or storage system can be guaranteed completely secure.

8. Your choices and rights

You may request access to personal information we hold about you, ask us to correct inaccurate information, request deletion where applicable, withdraw consent to optional uses, or ask how information has been used or disclosed. We may need enough information to verify your identity and locate the relevant records.

We will respond to an access request as quickly as reasonably possible and ordinarily within 30 days, subject to lawful extensions and exceptions. Some information may need to be retained where required by law or where deletion would interfere with legitimate contractual, tax, insurance, security or legal obligations.

If you are not satisfied with our response, you may contact the Office of the Privacy Commissioner of Canada.

9. Children and external websites

This website is intended for organizations, professionals and adults seeking UAV services. It is not directed to children, and we do not knowingly collect children’s personal information through the website without appropriate consent.

Links and embedded services may take you to websites operated by other organizations. Their privacy practices and terms apply to information they collect directly.

10. Changes to this policy

We may update this policy when our website, providers or legal obligations change. We will post the revised policy here and update the effective date. Material new uses or disclosures will receive additional notice or consent where required.
